Position Summary

HYPE is seeking a dynamic Director of Operations with a keen focus on administrative prowess and operational efficiency to drive forward the day-to-day functions and staff management at HYPE. This pivotal role will be instrumental in streamlining processes, fostering a culture of operational excellence, and ensuring seamless coordination across various departments. The Director of Operations will be deeply entrenched in administrative tasks, strategic planning, and project management to support the organization’s overarching goals and mission.

The ideal candidate thrives in navigating complex operational landscapes, understands how to apply automation and technical solutions where applicable, excels at establishing and optimizing processes, and demonstrates exceptional proficiency in managing administrative functions. They will serve as a linchpin between different stakeholders, leveraging their expertise to propel organizational initiatives forward and uphold the highest standards of operational efficiency.

Hours Description

  • Full-time, salary, exempt employment status
  • Hybrid work, with the flexibility to work primarily from home
  • Occasional requirement to meet in person and/or attend special events
  • Reports to Chief Executive Director

Responsibilities & Duties

  • Administrative Leadership
    • Lead the development and implementation of organizational frameworks to support new & existing employees, ensuring seamless integration and alignment with HYPE’s objectives.Drive the creation and maintenance of digital platforms for internal communications and process management, leveraging technological solutions like SharePoint and other Office 365 products to enhance organizational efficiency.Facilitate leadership meetings and foster cross-departmental collaboration to drive project success and ensure seamless coordination of tasks and assignments.
    • Utilize project management tools to facilitate cross-functional coordination and provide real-time updates on project statuses to the Executive Director.
  • Internal Operations and Staff Management
    • Implement and refine processes for regular updates to organizational documents such as the employee handbook and SOPs, demonstrating a commitment to accuracy and compliance.
    • Streamline recruitment processes, facilitate onboarding procedures, and manage HR responsibilities for new hires, interns, and seasonal staff.
    • Establish and oversee the implementation of performance review processes, empowering employees to thrive and grow within the organization.
    • Curate and manage organizational calendars to foster a sense of community and inclusivity, while also ensuring timely communication of important events and milestones.
    • Take the lead in planning and coordinating staff events and retreats, fostering team cohesion and morale.

  • Operational Excellence
    • Exercise delegated authority to oversee projects requiring cross-functional collaboration and resource allocation, providing comprehensive project planning and management support.
    • Serve as a key liaison with the board of directors, preparing materials and facilitating seamless communication to support organizational governance and decision-making processes.
    • Identify opportunities for operational enhancements and provide actionable recommendations to drive continuous improvement initiatives across the organization.
    • Cultivate strong relationships with staff members to enhance operational efficiency and responsiveness, while also spearheading efforts to develop and implement new operational strategies.

Required Qualifications

  • Bachelor’s Degree (or work equivalent)
  • 5+ years of experience in organizational administration
  • Exceptional judgment, collaboration, and written and verbal communication skills.
  • Ability to handle complex situations and multiple responsibilities simultaneously mixing long-term projects with the urgency of immediate demands
  • Strong planning skills, vision, and creative intelligence.
  • Superb time management skills
  • Ability to build strong and sustainable relationships
  • Capability to interact within all levels of the organization and with external constituents.

Benefits & Compensation

Pay will be commensurate with experience and starting at $60,000/year.
